Cancel your subscription to almost any modern receipt-scanning tool or expense platform, and you run into a quiet operational trap: your financial document archive is locked in their cloud.
If you stop paying their monthly subscription fee, your access changes immediately. You can no longer search your past receipts, view structured transaction details, or share records with an accountant. If you want your data before closing your account, your only option is typically a raw “data export”—a bloated ZIP file containing hundreds of disconnected, unindexed PDFs stripped of spreadsheet context.
For a business owner or bookkeeper, an unindexed ZIP file is practically useless. If a tax authority or corporate partner requests verification on a vendor purchase from eighteen months ago, you are back to digging through folders manually, matching random file names against old bank statements.
You shouldn’t have to rent access to your own business history.
The Architecture of Permanent Data Sovereignty
When we engineered Transit Ledger, we designed the entire system around Zero Database Retention and direct file ownership inside Google Workspace™.
Transit Ledger never stores your receipts or transaction ledgers in an external database. Instead, it parses documents in temporary storage and immediately writes the results into the tools you already own:
- Document Copies Saved in Google Drive™: Every receipt, invoice, or statement processed by Transit Ledger saves a clean copy directly into your designated Google Google Drive folders (or Google Shared Drive). The file name includes the vendor, date, and invoice total.
- Direct Links to Saved Document Copies: Each row appended to your Google Sheets™ ledger includes a direct link to the saved copy in your Google Drive. For receipts logged from email, it also includes a direct link back to the original message in Gmail™. Clicking the link opens the saved document copy in Google Drive immediately.
- Zero Hostage Risk: If you ever pause or cancel your Transit Ledger subscription, nothing breaks. Your Google Drive files, your Google Sheets ledgers, and every direct document link remain fully operational in your Google account.
- $0 Accountant Access: Because your records live in native Google Workspace files, sharing them with your CPA or fractional bookkeeper uses standard Google sharing permissions—no paid user licenses required.
The Reality of File Ownership
A software tool should handle data extraction, normalization, and filing. It should never act as a tollbooth between you and your past records.
By keeping copies of your source documents in Google Drive™ and your transaction ledgers in Google Sheets™, you retain permanent data sovereignty. You own the files on day one, and you own them seven years from now.
